How to Organise the Best Events on a Dubai Yacht

Yacht events are easier to organise than venue events — if you follow a proven checklist. Here's the 20-step playbook we give every corporate planner, wedding coordinator and event manager who books through Private Yacht Dubai.

Phase 1 — 8 weeks out

1. Lock the date and yacht size
2. Confirm final guest count range
3. Determine if guests have mobility needs (ramps, cabin access)
4. Decide the route — sightseeing, dinner, dancing
5. Agree the theme/aesthetic

Phase 2 — 4 weeks out

6. Send save-the-dates
7. Finalise catering menu
8. Book DJ / live music
9. Book photographer & videographer
10. Order custom decorations & printed materials

Phase 3 — 2 weeks out

11. Confirm guest transport (limousines, coach, self-drive)
12. Send detailed directions to DMYC with map
13. Finalise the run-of-show minute-by-minute
14. Brief the captain on special moments (first dance, speeches, cake cutting)
15. Submit final dietary requirements to the chef

Phase 4 — 48 hours out

16. Guest list check-in via RSVP
17. Weather forecast review (with backup plan)
18. Confirm DJ playlist approvals
19. Pack VIP gift bags if part of the event
20. Arrive at DMYC 30 min before first guest, personally check yacht setup
